IMPORTANT : The first time you enter in the system, YOU MUST GO TO YOUR PROFILE to select YOUR PROVINCE. This information is now important to have the right school list for your province. ---------------------------------------------------------------------------- LOGGING ---------------------------------------------------------------------------- - http://www.chesstalk.com/elo/org/ -English -Register as an organizer / Fill the form / Submit. You will receive by email a temporary password. Then go back to the address stated above and fill your email and password to enter the system. -There you can change your temporary password for a password of your choice: Administration menu - Change password. -You can update your personal information: Administration menu - User profile. ---------------------------------------------------------------------------- RATING TOURNAMENTS ---------------------------------------------------------------------------- Step 1 - Announce your tournament(s): -Tournaments menu - Announce a tournament. This info will eventually be used to advertise tournaments on our web site but for the moment we are only using the content of your adds to get info about the tournament once it's rated. A tournament has to be announced first in order to enter its results. Adds can be modified or cancelled. Step 2 - Update players directory: -Players menu - Players directory. Once in the directory you can search players by id numbers or by family names. -Click the id number to modify the player's info (name, date of birth, school name and school grade). -Click the postal code to modify the player's address (address, phone number and email address). Full address can't be seen. Rely on the city and postal code to see if the player moved. When you're entering a new address: -Address should be COMPLETE. -If the address is INCOMPLETE in any way or not available put ONLY the name of the city, the province and the 3 first characters of the postal code (they can be approximative for example I always put M4G for Toronto players). For US players with no address put the city and the state in the field 'City', ex: New York, NY. Choose USA in the field 'Province' and put 99999 in the field 'Postal code'. -NEVER PUT A COMPLETE POSTAL CODE IF YOU DON'T HAVE THE FULL ADDRESS. -If you want to add an email address or a phone number to an existing file you don't have to worry about the address just leave everything blank (because we already have the address information in our database). -If you don't find your player in the directory: Players menu - New players (respect information given above about entering the players address and make sure the player doesn't already have a file!!!!). Step 3 - While in the directory and before entering your tournament results - identify the players you are going to use: -Either get players ID number for all the players in your tournament; -Or add their names in your players list (proceed one section at a time). To do so: in the directory, at your left, you have this sign beside each player's name: +. These allow you to add a player in some kind of basket (called your 'players list'). Each time you click on this sign you will see the player's name added to the list. -Click back on the directory page and find your second player and so on... Find all the players of your 1st section. THIS IS WORKING ONE SECTION AT A TIME. -Once everybody is there you can move them within the list using the green arrows or you can delete them with the red X. If everything is fine you can close the list window. -If you have an 'empty player' in your tournament, there is an empty file you can use. Its id number: 1. You can use as many as you want in each section. Step 4 - Entering tournament results If you have every player's ID#: -Tournaments menu - Enter tournament results. -Select one of your previously announced tournaments. -Select the right "tournament type" for your first section: swiss, round robin, cross table (if you're having problem choosing the right format please let me know and I will send you detailed information about each type). -Specify the number of players in your section. -Follow instructions. -When you're done with your 1st section you will have the possibility to start your 2nd section. And so on... If you don't have every player's ID# and filled a players list: -Tournaments menu - Enter tournament results. -Select one of your previously announced tournaments. -Select the right "tournament type" for your first section: swiss, round robin, cross table (if you're having problem choosing the right format please let me know and I will send you detailed information about each type). In each case, specify that you want to use your players list. By doing so, the system will know how many players you have in your section so won't need to specify it. -Follow instructions. -When you're done with your 1st section you will have the possibility to start your 2nd section using the same players list (your players list is still filled with players from section 1, that list will be available as long as won't quit the system and as long as you won't fill the list with new players. So if you wish to use the same players for your second section you don't need to fill the list again.) or to fill the list with different players. When all sections have been entered -Close your tournament. On Fridays I will rate all tournament that have been sent during the week. Dead line: please make sure all results are entered by midnight on Wednesday. -If you find a mistake in your tournament, please let me know and I will make the correction before I rate it (once a section or a tournament is done you don't have the possibility to change anything in it, we have special access to the database and can change things for you). BEFORE YOU CLOSE A SECTION YOU ARE ALWAYS ASKED TO GIVE A CONFIRMATION FOR THE RIGHT CHOICE OF PLAYERS AND ACURACY OF THE RESULTS ENTERED, PLEASE CHECK!!! -Between each sections of your tournament, you have the possibility to exit the system without loosing what have been entered. When you will come back just choose your tournament again and notice that you will be told how many section has been entered already. -Please note that you can use 2 browsers at the same time, both connected to your user-account. That allows you to enter tournament results in one of your browser while checking the identity of a player in the other browser (for example). That procedure is tricky and should be used carefully. In this case make sure that only one of your browser is used to submit information (submitting data from 2 browsers at the same time could be horrible!!! Entering a tournament using SwissSys With our new system you can upload a tournament entered with SwissSys. To do so go through steps 1 and 2. Gather all the players id#. Add them to your SwissSys files TO MAKE SURE EVERYBODY HAS AN ID NUMBER. Forget about steps 3 and 4. Then save your SwissSys files as .DTF files (SwissSys/Utilities/Dump to delimited textfile/then choose: Standing). You are now ready to upload your file: File uploads Menu - SwissSys game file. Then follow instruction. -Note: please don't include playoffs to you DTF files. Send them to us by email and we will take care of them or enter them manually after uploading all your DTF files. ---------------------------------------------------------------------------- ADDITIONAL INFO ---------------------------------------------------------------------------- Shortcuts ========= +, - and = or W, L and D can be used to enter your results. Personally I prefer the +, -, = form. If you use +, - and = that are over the letters of your keyboard it might be longer. But if you get them from you numeric keyboard, it's fast. The only problem is when you want an =. So I asked the programmer to do something about it. So he programmed * to be like =. TAB allows you to go from one fields to the other without using your mouse. SHIFT+TAB allow you to move backward. In a drop down menu: -you can type on your keyboard the first letter of the word you're looking for; -page down, page up to move (faster); -arrows (up and down) to move (slower); Ex: When you're in the schools menu you can press the first letter of your school, then use page down, page up to get closer, then your arrows to move slower. Until you're on the right one. Schools ======= School list is an official Canadian school list. So far I found a few missing schools but otherwise it's pretty complete. If you don't find a school just tell me I will check on the government web site of your province to see if the missing school is there then I will add it to the list. How to choose between Cross table, Round Robin and Swiss templates ================================================================== Cross table: -Use it when: All the players in your section are playing against each other once and in order. -Number of players: 2 to 10. -Clues: Cross tables can be recognized by the X (or empty cells) crossing the section from left to right and top to bottom. -Alignment: Results are not aligned vertically (result from player 1 vs player 2 is not in the same column than result from player 2 vs player 1, etc.). -How to enter its results in the system: Just enter results under the right opponent column (ex: +, -, =). -Example of a section using Cross table template (X = no game played): 1 2 3 4 ... ------------------- 1. X - = + 2. + X + - 3. = - X = 4. - + = X ... Round Robin: -Use it when: All the players in your section are playing against each other once in a Round Robin specific order (see below). -Number of players: 3 to 8. -Clues: Round Robin can be recognized by looking at the 1st player's opponents. He plays against the last player first, then all the other ones in order. -Alignment: Results are aligned vertically (result from player 1 vs player 2 is in the same column than result from player 2 vs player 1, etc.). -How to enter its results in the system: Just enter results under the right opponent column (ex: +, -, =). -All Round Robin templates can be downloaded (english and french versions available) from our web site: http://www.chess-math.org/organizers/ Please note that some organizers from New Brunswick are using a non standard Round Robin template for 8 players. Make sur you are using the one available via our web site. -Example of a section using Round Robin template for 4 players (X = no game played): 1. +4 -2 =3 2. -3 +1 +4 3. +2 -4 =1 4. -1 +3 -2 Swiss: -Use it when: You can't use Cross table or Round Robin. When your Cross table or Round Robin sections have double results. Swiss is actually a free format: players are playing against any number of opponents, once or more and in any order. -Number of players: 2 and more (no limit). -Clues: No clues. -Alignment: Results have to be aligned vertically (result from player 1 vs player 2 have to be in the same column than result from player 2 vs player 1, etc.). -How to enter its results in the system: Since opponents could be anybody - for this type of tournament only - you have to put the opponent number after the result (ex: +30, -18, =8). -Example of a section using Swiss template (X = no game played): 1. +18 +2 =2 +2 2.
